Goal: Transform the chaotic "First Day" experience into a seamless, automated red carpet for new teammates.
First impressions are permanent. When a new hire joins, there are dozens of moving parts—IT equipment, payroll setup, introductory meetings, and training modules. The New Hire Hero recipe ensures no ball is dropped and your HR team doesn't spend their entire Monday sending manual emails.
🛑 Before You Begin: Prerequisites
To ensure a smooth setup without any "Access Denied" errors, please verify you have the following system permissions before building this workflow:
-
NimbleFlow Access: You must be a Workspace Admin or have the specific "Automation Creator" role enabled on your profile.
-
ATS Permissions: You will need active login credentials and API access to your Applicant Tracking System (e.g., Greenhouse, Lever) to authorize the connection.
-
Slack Integration: The NimbleBot must already be authorized in your Slack workspace. Make sure to invite the bot to your
#generalchannel by typing/invite @NimbleBotin Slack before running your first test.
📝 The Recipe Logic
| Step | Component | Action |
|---|---|---|
| Trigger | Recruitment App | Candidate status changes to "Hired" in Greenhouse, Lever, or a Google Sheet. |
| Action 1 | NimbleFlow | Automatically create a new Private Project using the "Standard 90-Day Onboarding" template. |
| Action 2 | Slack | Post a message in the #general channel: "🚀 A new hero has joined! Welcome [Name] to the [Department] team!" |
| Action 3 | IT Ticket | Create a task in the IT Support board labeled "Hardware Provisioning" for [Name]. |
| Action 4 | Google Calendar | Schedule a "Welcome Coffee" with their assigned Mentor for Day 1 at 10:00 AM. |
🚀 How to Deploy This Template
Open NimblePulse: Navigate to the Automations tab in your sidebar.
Select "Browse Library": Search for the "Employee Onboarding" template.
Connect Your Apps: You will be prompted to sign in to your ATS (Applicant Tracking System) and your company Calendar.
Customize the Message: Edit the Slack "Welcome" text to match your company's unique culture and voice.
Hit "Activate": The next time you move a candidate to "Hired," the gears will start turning automatically.
💡 Pro-Tip: The "Manager Pulse"
We recommend adding a Delay Step to this flow. Set an action to ping the new hire’s manager in Slack exactly 30 days after the start date with a simple prompt: "How is [Name] settling in? It’s time to schedule their 30-day check-in." This small automated nudge ensures your leadership stays engaged long after the first-day excitement fades.
